UID Registry Submission Techniques

UID Registry is the repository of UID data for the items used by the Department of Defense. This is a software system that acts as a database and helps the item management system of DoD. The information submitted to the UID Registry about the DoD property should comply with the IUID standards. The system has simplified the access of UID information.

The assignment of IUID to all tangible items of the Department of Defense has simplified the item tracking process of the organization. The items in the possession of the prime contractors are marked with UID by the contractors. The globally unique identification is assigned by the DoD and the contractors are required to submit the IUID marking data to the UID Registry at the time of submission. The basic and necessary data that should be provided by the contractors are the item number, product identifier, shipment numbers, and unit cost. However, the additional information required for submission of data to UID Registry are
• UID Type (Construct 1 or 2)

• Entity Identifier (such as CAGE) of company assigning the UID
• IAC (Issuing Agency Code) which controls the Entity ID
• Part Number (Construct 2 only)
• Serial Number
• Fully constructed UID

There are few options provided by the UID Registry for the contractors for submission of data
Method #1- Direct UID Registry Transaction
Direct submission is a comparatively easier way of submission of data where the contractors are allowed to submit the UID information and the computer files related to the data through the Internet. The UID Registry doesn’t return any file or acknowledgement to the contractor for direct submission. However, the contractors need to take adequate precautions regarding security while sending the files.

Method #2- UID Registry Web Interface
The Web Interface is one of the data submission techniques to the UID Registry with which the DoD allows the contractors to type in the DoD information to the UID Registry. The process is not feasible if the contractor is submitting high volume of shipment as it is a time-consuming, error-prone and cumbersome method. However, the process can be effective if the volume UID consignment is low.

Method #3- The WAWF Web Interface
The Wide Area Work Flow (WAWF) accepts the UID data from the contractors with combo (2-in-1) documents and receiving reports. The system is a more user friendly way of UID data submission. The required data received from the contractors are forwarded to the UID Registry by the system.

The other electronic methods of UID data submission are supported by the Mil-Pac WAWF Support Library (WASup) as a WAWF Receiving Report using the DD250. Of late, the WAWF method is the most efficient technique of data submission to the UID Registry. In case the circumstances don’t allow the UID Registry submission with a receiving report, the contractors select the direct submission process as the ultimate one.

The strategic UID Registry submission has enhanced the system engineering, logistic support and operational planning of the DoD. The recent introduction of the paperless submission process has reduced the hassles of the contractors to a certain extent.
