One of the most important skills we have to learn if we are to lead fulfilling and healthy lives is organization. But this can also be a very broad concept and we may just end up being ineffective with the things we do. Organization is something they have mastered from childhood, but if you feel you still need a lot of practice, begin with honing your scheduling skills and how you can create those to-do lists more effectively.
It is important to start right, or else, nothing is going to work. You definitely should put it on something, so the first thing you need to do is to decide what something will be when you make a schedule. Is it going to be a desk organizer or a software? How and where will you use the software? Are you going to use your laptop? How about your cellphone? You have to decide on just one. You may think this is all common sense, but when you keep a lot of schedules in different mediums, you may not be able to keep the information the same for each of them. Chances are, you might miss something since it was listed somewhere else. That's why you need to decide what to use and stick to that.

Before putting anything on that tool, it would be good to make a rough draft of the routines you need to do for a week. Doing this will help you format your schedule such that you leave space for those regular tasks and those that will come up from time to time. Here, you will know whether you need a by-the-hour schedule or if a day-to-day listing is good enough. You should also consider grouping these routine tasks so that you are able to do them more efficiently. Schedule all typing tasks together so you don't have to go back to your computer after making a sales call if you need to use a word processor for typing documents.
You can now start prioritizing once you have listed all your tasks. Is it really more important to answer that email before making your report? You have to know which tasks are more urgent than others and you have to schedule them accordingly. Decide which one will take more of your time or has a more important concern meeting with you and schedule as needed if you have appointments with multiple clients within a day. Usually, you would like to have the most important meetings in the morning when productivity is likely to be high, but everything will still depend on what you have agreed on with the other party.
In terms of productivity, you can also make a schedule more effective by making it realistic. The productivity of people vary, some may be more productive during this time and some might prefer other times. So if you're a writer, you'll probably want to schedule your writing tasks early in the morning when you're all fresh from sleep. The bottomline is to find that time of the day when you can perform your tasks best. And in between those tasks, do not forget to schedule a time for rest. All of us need rest, so don't fill up your schedule to the point that you won't have time to relax. Indeed, you also need to make a schedule for relaxation, just in case.
