Outlook Email Problem - The Folder Is Full

You have been using the Outlook persistently and all of a sudden, while trying to delete one of the folders or trying to rename it you get a message, “The folder is full” and cannot delete it. You might have come to a conclusion that the Outlook has some trouble and let’s try and repair it and so you have tried the scanpst.exe option but in vain. This is a very common outlook email problem. The error actually pops up when you reach the maximum limit of the “pst” file.

Are you thinking how to solve this outlook email problem? You can talk to a remote tech support provider for getting solution or you can try to troubleshoot on your own. The first thing that should be checked is whether you are using the ANSI format or the UNICODE format. The 2003, 2007, 2010 Outlook uses the Unicode format but the other versions uses the ANSI format. In ANSI format if you have reached the 1.8 GB limit then you will have to use a third party software to crop the oversized file to a smaller size so that it can be moved, deleted or shifted to another pst. How to check the format?

The best way to check the format is to click on File and then on Data File Management. For 2010 users it will be File-Info-Account Settings-Data Files. If the Format says “97-2002” then you are in ANSI format.

If you have reached the 4 GB mark then it is not the format of the Outlook file but the format of the whole disk which is the problem for you. The disk might have been formatted to FAT32 and you will have to change the file-format to NTFS in order to support larger files more than 4 GB. If in case you have reached the 20 GB limit then you will have to change the default limit temporarily so that you can work on it like folder deletions etc. and then you will have to revert back to the default limit. Once the folder is cleaned you must empty the “deleted items” folder to gain more free space.

The “inbox repair tool” is third party software and the scanpst.exe can be used for repairing the inbox. An Advanced Recovery tool is available as well if the scan.pst is not able to repair the inbox. However, for the general user, the maintenance of Outlook is the best option to keep away such issues. Yes, emptying the Deleted Items folder after a period of time and configuring rules so that specific mails can be deposited to specific folders. This could even over-ride the server based rules for that specific computer. Regular shifting of files from one folder to the other that is a “recent” folder to an archive like folder so that space management can be done in a better way. By implementing all these, you can easily avoid all these error messages and can manage the mails in proper way.
