How to Write For Busy People

Even when you don’t have intentions of being a professional writer, you’ll likely end up spending a good portion of your working hours writing anyway. From emails to reports to IM conversations, it’s just part and parcel of doing business.

Anytime you’re writing for business and networking purposes, it can’t be stressed enough how important to keep your audience in mind. These aren’t people who will be perusing your piece in their leisure time, as when they open a novel or a magazine. Instead, these are people who will be squeezing your email, report or proposal into their hectic daily schedules.

There are a lot for reason why a certain person is very busy with their schedules. They don’t read the whole message or writing just to know what your writing is all about. What they always do is to glance at it and they sometimes skip it. How are you going to get their interests and some time in reading your writings? There are a lot of ways to let them read your letter or message instantly.

In fact, they can as well remember what you are trying to imply in your writing. Now, to repeat this question again and for you to think deeply about what you are going to do about it. How do you ensure that your writing is as succinct and organized as you need it to be?

• Have a clear title that declares what the text is all about.
• Put your important points up front.
• Use section headings and subtitles to your advantage.
• Itemize all lists and display them as bullet points.
• Keep paragraphs to between three to five sentences each.
• Use bold and italicized font faces to add emphasis.
• Clean up all grammar errors with an English writing software.
• Repeat your important points towards the end to make sure the reader remembers them.

It is very important if you’ll know who your audiences are. If not, make your writings clearer and readable as possible so that anyone, depending on your reader’s comprehension, will automatically understand your writings properly.

There is no need to make your writing long. It will only make your readers frustrated or worst, they will never read it. You don’t want that to happen, do you? So as much as possible, write your main point directly and write concisely.

With this situations, using bullets or numbers can be of great help than to write a list in a paragraph form. This is because it will be easy for them to locate and read your important message easily and clearly than to read the whole paragraph. It will be hard for them since they are in a hurry. So list down all items that you want your readers to remember using a bullet or numbers.

If you have a format for particular documents that you can agree on with those you regularly write for, make sure to use it extensively. The less reading and the more skimming you allow busy readers to do, the more effectively your writing serves them.
